Compliance is a key part of payroll, but the details of it can quickly become complicated or even intimidating. It doesn’t have to be, though.
Wrapbook’s VP of Sales Quinn Moran and Senior Customer Success Manager Chanelle Davis recently spoke with Product Marketing Manager Austin Javellana during our virtual event “Wrapbook Next: Navigating Compliance with Confidence” to discuss the ways in which Wrapbook takes the burden off your team to simplify paying crew compliantly.

Moran notes that compliance concerns and oversights often arise from either a lack of knowledge or lack of visibility. As a result, “People want to know what they don’t know.”
That’s where Wrapbook comes in. Our One Platform helps clients avoid the pitfalls they don’t know about, and in doing so, supports them in maintaining their compliance obligations.
To that end, Wrapbook aids in managing best production practices by alerting clients to issues relating to time, location, rates, or other general and common compliance issues. These system notifications can then guide clients in the right direction to support their compliance obligations.
Moreover, Wrapbook prioritizes security of information for both worker and client peace of mind. We take precautions to protect sensitive and confidential information, which in itself is an invaluable benefit. However, it also fosters a sense of security and trust between crew and production company by demonstrating to the former the seriousness with which the latter takes their security.
Best payroll compliance practices begin the moment onboarding begins for a project, and Wrapbook is there to guide our clients through the process.
Moran emphasizes our “customer-centric approach,” which means tailoring the experience to each client’s individual needs. We want everyone – from crew to the production team to the production company to the accounting team – to feel supported.
In some cases, that might mean going to set or organizing individual setup sessions.
As Moran notes, “We want you to have a rollout that is successful.”
And that necessitates keying in on how we can best support the unique needs of our clients.
Davis adds that with every new customer, she asks, “What’s specific to this particular client?” This allows her to tailor the onboarding process to each client’s protocols.
While Wrapbook’s One Platform is heavily automated for ease of use, Moran points out that we have simultaneously “doubled-down on the human aspect” of our client interactions and relationships.
The client is never asked to train new employees on how to use Wrapbook. Davis or another of our CSMs is there to guide the process. And if a crew member – or anyone else – has an issue, Wrapbook is there to handle it.
Speaking of automation, Javellana notes that a key part of our One Platform is allowing clients to “surface information in Wrapbook so you can act on it and figure out what needs to be done.”
Moran adds, “It’s all about educating [the client] and letting them know what they can do.”
Take for example the notifications and options available to clients within Wrapbook’s Timecard Settings.
One valuable feature is the “California hourly rate enforcement settings,” which provides an hourly rate and can be put in place to support the client’s payroll compliance.
Clients can also choose to turn on our “send reminders to workers to complete timecards every Friday and once after project has ended” feature to further support timely submission and subsequent payment.
Let’s say you’re onboarding a non-union worker. To help you stay compliant with minimum wage laws, a notification will appear should a rate be entered that falls below the minimum wage threshold in our system.
And if the worker is union? Wrapbook automatically provides the scale rate for that worker based on their union membership and role.
This information not only helps to support our clients’ compliance obligations, but also provides real time payroll and accounting insights for those monitoring, tracking, and reporting on them.
“The name of the game is knowing where you are in the midst of a shoot, and Wrapbook is enabling you to do that much simpler than you would do in the past,” Moran emphasizes.
Clients want to know union scale rates before processing payroll. They want to have an hours-to-gross calculator that breaks down a timecard in real time. They want to know what their overall spend is in real time. All to say, more information more quickly can make for a more successful production.
Wrapbook’s notifications for onboarding, timecards, and payroll also allow for our clients to see which workers need individual attention should a task be due or overdue.
In addition, our automatic audit logs document every action with a timestamp to further detail who did what and when so that both our clients and their workers have clear and accurate data as it relates to payroll compliance.
This dedication to helping our clients manage their compliance obligations means that Wrapbook is continually rolling out new features for more comprehensive support.
One recent rollout is our new roles and permissions feature, which allows clients to set up custom roles, including custom accounting roles, to determine who has authorization for specific actions and approvals.
Moreover, we’ve recently implemented approval workflows for timecards and purchase orders; again, this allows for further customization as it relates to routing approvals to the proper individual.
These features, both existing and new, are part of Wrapbook’s commitment to supporting our clients in owning their onboarding, timecard, and payroll compliance obligations.
